QUALIFICATION OF PARTICIPANTS

Student Research Days is open to all graduate students enrolled in a masters (M.S.) or doctoral (Ph.D., M.D., or M.D./Ph.D.) degree-granting program at Georgetown University.

Non-degree students, special students, and students enrolled full-time in degree-granting programs at institutions other than Georgetown University are ineligible.

Postdoctoral Fellows, Laboratory Technicians, Research Assistant Professors, Instructors, Lecturers, or other classifications of junior faculty are also ineligible.

NOTE: Individuals may only submit one abstract (as first author) for the competition.

PREPARATION AND SUBMISSION OF ABSTRACTS

Abstracts must be submitted electronically as a Word document (PDF's will not be accepted), and should be limited to one page, double-spaced (1.5 line spacing is acceptable, but not encouraged; single line spacing is unacceptable).  Acceptable fonts are Times-12 or Helvetica-11.  The page should have a one-inch margin all around. 

The title, followed by the author's names and departments, should be centered at the top of the page.  The first author should be the student who will present the poster.  The abstract text's right margin may be justified or ragged.  The abstract may contain graphics as long as the entire abstract remains limited to one page.

At the bottom of the page, the author is asked to identify 5 to 8 keywords that do not appear in the title.  Words such as "interdisciplinary" and "multidisciplinary" may be included as keywords, if applicable and appropriate.

It is strongly suggested that scientific symbols be spelled out.

Abstracts that do not adhere to these guidelines will be subject to rejection.

IMPORTANT: A limited number of boards are available for this event.  Posters will be accepted on a first-come basis, in the order of submission, limited to the number of available boards.

POSTER SET-UP

Poster boards will be available for set-up starting on Thursday, March 27, 2008, after about 12:00 noon.  To find out your assigned board number, please visit Abstract Entries for 2008.

IMPORTANT: Please be sure to attach your poster to your assigned board.  Please do not adjust the board in any way (such as repositioning the board, removing the identifying number or other identifying information attached to the board, etc...).  A photocopy of your abstract will be taped to the center of the board to aid in identifying your assigned board; this abstract may be removed when you install your poster.

The boards are made of heavy-duty plastic, and are either blue or gray in color (we are unable to confirm in advance the color of individual boards by number).  The boards measure approximately 4' x 6' in size (about the size of a door), and will be hung in a vertical (portrait) orientation in the ground-floor corridors of the Preclinical Sciences Building, in the area to the west of Dahlgren Library, as well as the first-floor corridors of the Medical-Dental Building.  To find out the number of your assigned board, please visit Abstract Entries for 2008.

Again, please DO NOT adjust your assigned board in any way.

Participants will need to supply their own materials for attaching their poster to the board.  Thumb tacks or push-pins have worked best in the past (a hammer is helpful, as the plastic material of the boards is quite strong and thick).  Adhesive putty is also an option, through from past experience, this does not seem to hold the poster for more than a few days.  Tape, unless heavy duty, is not recommended.

Should you require any assistance with preparing your poster, you may wish to contact the Faculty and Curriculum Support Center (FACS).  The FACS can prepare large-format poster prints and poster session materials.  These services are available for a fee, with prices based upon workload, complexity, and time sensitivity.

JUDGING

Participating judges are drawn from Georgetown University faculty as well as from external organizations, such as the NIH, the Biotech Industry, and area universities.  It is expected that each judging team will be comprised of a mixture of internal faculty as well as visiting judges.

Judges will be assigned to posters based on area of knowledge and expertise in an effort to maximize their ability to provide constructive and meaningful feedback to event participants.  In keeping with the guidelines established by the NIH Roadmap for Medical Research, some teams of judges will focus on projects that utilize a multidisciplinary approach to a biomedical problem.  Posters to be judged within a given group may be from a variety of departments or programs.

The judges will examine the posters from 1:00 - 3:30 p.m. on Friday, March 28, 2008 (the day after the poster set-up).  Participants must arrange to be available during this entire period to present their poster to the judges (light refreshments will be provided throughout the event).  A booklet containing copies of all abstracts submitted by the deadline will also be available the day of the event.

NOTE: While other authors on an abstract are welcome to be present during the judging, it is expected that the event participant (as first author on the abstract) will interact with the judges exclusively, explaining the research project to them, and directly answering any of their questions.  Should individuals other than the event participant (first author on the abstract) explain the research or answer any questions, that poster is subject to disqualification from the competition.

All participants will receive written feedback from the judges regarding their presentation by way of a critique form which will be completed by the judges during the event (completed critique forms will be available to event participants in the Office of Biomedical Graduate Education on Monday, March 31, 2008).

AWARDS

Cash prizes of $200 each will be awarded by each group of judges to one poster within their group.

A reception will be held at the end of the day (roughly 4:00 p.m. on Friday, March 28, 2008) in SW107 Med-Dent, at which time the prizes will be announced.
